Privacy Notice

Last updated 3 November 2026

This notice explains how The Fractional Finance Specialists (TFFS) collects and uses personal information when you visit our website, register as a specialist or make an enquiry as a business.

Who we are

TFFS operates the website at tffs.co.uk and a curated network of independent finance professionals. TFFS is responsible for the personal information described in this notice. You can contact us about privacy through our Contact page or at connect@tffs.co.uk.

Information we collect from specialists

  • Account details: your name, email address and sign-in details (passwords are stored only in encrypted form).
  • Your CV, professional photograph and LinkedIn profile link, if you provide them.
  • Professional information: career history, qualifications, sectors, capabilities, systems, availability, working preferences and indicative rates.
  • Contact details such as your phone number and location.
  • Records of your declarations and consents, including the date, time and version accepted.
  • Notes and decisions made by the TFFS team when reviewing your profile.

Information we collect from businesses and visitors

  • Details you send us in an enquiry: your name, organisation, contact details and the requirement you describe.
  • Basic technical information needed to run and protect the website, such as security logs.

How we use your information

  • To create and secure your account and let you sign in.
  • To prepare your specialist profile. If you choose, an AI service reads your CV to suggest a draft profile. The suggestions are only a draft: you check and confirm everything, and your CV is not used for any other purpose.
  • To review your application, agree the categories you appear under and decide whether to publish your profile.
  • To show your approved profile to businesses, where you have consented to publication.
  • To make relevant introductions between specialists and businesses.
  • To send you emails about your account and application, and to answer enquiries.
  • To keep the website and our records secure, and to meet our legal obligations.

Our legal bases

We use your information to take steps at your request before entering into an arrangement with you (registering and reviewing your application), for our legitimate interests in running a trusted professional network and making suitable introductions, with your consent where we ask for it (for example, publishing your profile, photograph and rates), and where the law requires us to.

What is public and what stays private

  • Nothing is published automatically. Your profile is published only after TFFS approves it and you have consented to publication.
  • Your CV, email address, phone number, LinkedIn link and our internal review notes are never shown publicly.
  • Your photograph and indicative day rate are shown only if you choose to allow it and TFFS approves it.
  • Businesses receive your contact details only through an introduction arranged by TFFS.

Who we share information with

We use trusted service providers to host the website and database, store documents securely, send emails and run the AI-assisted CV analysis. They act on our instructions and may not use your information for their own purposes. We share your details with a business only as part of an introduction, and we never sell personal information.

How long we keep information

We keep your account and profile while you are part of the network. If you withdraw or ask us to close your account, we delete or anonymise your information within a reasonable period, except where we need to keep records of decisions, declarations and consents to meet legal obligations or resolve disputes.

Keeping information secure

CVs and photographs are stored in private storage and opened only through short-lived secure links. Access to applications is limited to you and the TFFS review team, and administrator accounts use additional sign-in security.

Your rights

You can ask to see the information we hold about you, to correct it, to delete it, to restrict or object to how we use it, or to receive a copy. Where we rely on your consent, you can withdraw it at any time — for example, by asking us to unpublish your profile. To make a request, contact us using the details above. You can also complain to the Information Commissioner's Office (ico.org.uk).

Changes to this notice

If we change this notice in a way that affects you, we will tell you and, where needed, ask you to review and accept the new version from your account.
